B2B Cold Calling Script for Booking Meetings (Template)
By Appointment Setter · · 6 min read
A good cold calling script isn't something you read word for word. It's a structure that keeps the call focused, makes it easy to explain your value and ends with a clear next step: a booked meeting. Here's a simple framework you can adapt to your own offer.
The structure of a B2B cold call
- Opening: introduce yourself and your company in one sentence.
- Reason for the call: explain briefly why you're calling this person in particular.
- Value: share one relevant result or problem you solve for similar companies.
- Qualifying questions: find out whether there's a need, and who decides.
- The ask: suggest a short meeting with a specific time.
- Confirmation: agree on time, attendees and what the meeting will cover.
Cold calling script template
Adapt the wording to your own style and offer – the goal is a natural conversation, not a monologue.
Opening: "Hi [Name], this is [Your name] from [Company]. Do you have a minute, or did I catch you in the middle of something?"
Reason: "I'm calling because we work with [type of company] who want to [goal], and I noticed that [relevant observation about their company]."
Value: "We help companies like yours [solve problem / achieve result] without [common drawback]."
Question: "How are you handling [area] today?"
Ask: "It sounds like it could be worth a closer look. Would a 20-minute call with [colleague] next Tuesday or Wednesday work for you?"
Confirm: "Great – I'll send an invite for [day and time] with a short agenda. Is [email] the best address?"
Qualifying questions to use
- How are you handling [area] today?
- What would you like to improve?
- Who else is involved in decisions like this?
- Is this something you're looking at this year?
Handling common objections
- "Just send me an email." "Happy to. So I send you something relevant – what would be most useful for you to know?" Then suggest a time to follow up.
- "We already have a supplier." "That makes sense. Many of our clients did too – what would you change about your current setup if you could?"
- "Now isn't a good time." "Of course. When would be a better time for a quick call?" Then book that time.
- "We don't have the budget." "Understood. The meeting is just to see whether there's a fit – if it makes sense, we can look at timing together."
Voicemail script
"Hi [Name], this is [Your name] from [Company]. I'm calling about [one-line reason]. I'll send you a short email as well – you can reach me at [number]. Have a great day."
Tips for better cold calls
- Research the company before you call – one relevant detail makes a big difference.
- Ask more than you tell, and listen for the real need.
- Always end with a concrete next step.
- Record and review calls to improve your pitch over time.
